Official Invitation and Refund Policy
Official Invitation - Authors
You will receive the admission decision or paper/abstract acceptance within 5 days (in most cases), after your application or
abstract/paper has been received. The official invitation (for visa purposes) will be sent to you the next business day upon
receiving a full registration fee or sponsorship letter from your institute/organization along with full paper. You must submit
submit Official Invitation Request Form to facilitate your request for visa purposes.
Official Invitation Listeners/Observers
If you will participate as a Listener/Observer you may need to pay the full registration fee or be required to submit a
sponsorship letter from your institute to receive an official invitation (for visa purposes).
Please submit Official Invitation Request Form in order to facilitate your request.
Refund Policy
No refund will be issued to minimize administration burden on the conference secretariat. However, the registrants are allowed
to transfer his/her place to another person or to another event / conference.
Failed visa applicant from Academic Institutions and paid by the institution
If you are unable to secure a visa, you may be required to submit the original copy of the visa officer’s decision by mail. OIDA
will not accept faxed or scanned copies. However, notification must be received by us in writing (email or fax) within 72 hours of
the commencement of the program for refunds to be eligible. You will be eligible for 90% of the registration fee and 10% will
be retained to cover the cost of an administration fee. Cancellations received after this cut-off time will not be eligible for refund.
This request must be received directly from the institute but not from the registrant.
Important note for failed visa applications
All requests need to be submitted to the conference secretariat e-mail: oida@ontariointernational.org and will be considered and
processed once the conference is concluded. All refunds will be wire transferred into beneficiary bank account (institution) and
subjected to administration fees and bank charges. Please fill out Refund Request Form and submit to conference secretariat.
